Checking a Tractor Parts Delivery Against the Confirmed Order

A parts delivery should be checked against the confirmed order before items are distributed to jobs or storage bins. The first task is reconciliation: identifying what arrived and whether it matches the agreed descriptions. Technical suitability and installation remain separate checks.

Start with the final order version

Use the latest confirmed item list and retain earlier versions as history. Match each received item to its order line, including any agreed reference change. Keep components, kits and complete assemblies distinct when counting quantities.

If a supplier has proposed an alternative after the original enquiry, make sure its confirmation is included in the working record.

Record the receiving result

  • Order line and confirmed part reference.
  • Reference or description on the received packaging.
  • Expected and received quantities using the same unit.
  • Visible condition or packaging observations.
  • Photograph and question for any difference requiring review.

Do not open or alter items unnecessarily where doing so could affect the supplier’s agreed returns process. Ask for clarification through the actual transaction channel.

Resolve uncertainty before issue

Hold items needing identification in the store’s review process and tell the responsible technician which questions remain open. A packaging difference may be explainable, but it should not be silently treated as confirmation of a substitute.

For example, receiving one assembly instead of several individual components requires clarification of the supply scope, even if the total package count appears correct. Keep the supplier’s response with the order and service records. This checklist does not establish a return entitlement, diagnose a machine fault or approve fitting; rely on the agreed terms and qualified technical confirmation for those decisions.
